“We’ve had it cleaned every quarter for three years and it looks worse than when we moved in.”
That was a facilities manager on the second floor of a building in Farringdon, standing on a mid-grey cut pile in a client-facing reception, holding an invoice history that showed twelve encapsulation visits and no extraction at any point. The floor had a dull cast across the walkway from the lift lobby to the meeting rooms, and it felt faintly tacky through the sole of a shoe.
Encapsulation had done its job twelve times, and done it more or less correctly each time. The problem was what the specification asked it to do.
What Does Encapsulation Leave Behind On The Carpet?
A polymer, by design.
The chemistry is straightforward enough. A detergent solution is applied, agitated into the pile, and as it dries the polymer crystallises around each particle of soil it has surrounded. The crystal is brittle. It fractures under the beater bar of a vacuum and comes away with the soil locked inside it, which is the whole mechanism and it works.
That last clause is where the method lives and dies. Everything the encapsulant captures stays in the carpet until somebody vacuums it out, and the vacuum has to be a commercial upright with a working brush roll rather than a backpack with a plain suction head.
Encapsulation buys time. It was never built to remove what’s sitting at the base of a twelve-millimetre tuft.
The step that gets dropped from the round
Office cleaning contracts run on minutes per floor. An encap pass happens at eight in the evening, the polymer needs hours to dry and crystallise, and the vacuum pass that should follow it is scheduled for the next night when a different operative is on shift and has forty other rooms to cover.
Two nights later, nobody has lifted the crystals. Three months later, the next visit goes on top of the last one. The soil is still on the floor, now bound in a brittle polymer that gets walked on all day and ground down into the pile. I’ve asked for the vacuum logs on three contracts in the last year and got them once.
Why Does Residue Build Up Faster On Cut Pile Than On Loop?
Surface area and geometry.
A commercial loop pile presents a smooth, closed bend to the world. Solution sits on top of the loops, dries there, and vacuums off cleanly. Encapsulation was developed for exactly that construction, and on a level loop tile in a corridor it will run for years with no meaningful build-up.
A cut pile is a forest of open fibre ends. Solution runs down the tuft, dries in the middle and lower thirds where a vacuum brush can’t reach, and each visit adds a little more to what’s already there. Add a splayed, slightly fuzzed tip in a walkway and the residue has somewhere to hide.
The result is a floor that’s dull, holds soil more readily after each clean than it did before, and reaches a point where fresh soil bonds to old polymer within days of a visit. The cleaning frequency goes up, the appearance keeps sliding, and the facilities manager concludes the carpet is finished.
The glove test, and the one that’s more convincing
Kneel on a walkway and rub a white cotton glove hard across the pile for ten seconds. On a floor with build-up you get grey transfer with a slightly sticky feel, and the fibres crunch faintly under pressure.
The version I use in front of clients is wetter. I put a small amount of clean warm water on a patch, agitate it with a brush for thirty seconds, and lift it with a wet vacuum into a clear tube. On a healthy floor the water comes back lightly soiled. On an encap-only floor in an office in Hammersmith, W6, it came back the colour of stewed tea and produced a head of foam from the detergent still sitting in the pile, which ended the discussion faster than anything I could have said.
How Long Can A Cut Pile Run On Encapsulation Alone?
Twelve to eighteen months in a low-traffic internal area, and a good deal less than that anywhere near a door.
The honest answer depends on zone rather than on calendar. A meeting room used twice a week is a different carpet from the six-metre strip outside a lift lobby, even though they were laid on the same day from the same roll and sit on the same cleaning schedule.
A serviced office by Victoria Station gave me the clearest version of this I’ve seen. Same carpet throughout, four years old. The floor inside the meeting rooms was in decent order and would have run on interim maintenance for another three years. The two-metre strip inside the entrance doors had grit ground into the base of the tuft, a polymer load on top of it, and no realistic path back without extraction. One specification, two completely different carpets.
What I’d specify on an ordinary London office floor: extraction once a year across the whole area, extraction twice a year in entrance and lift-lobby zones, encapsulation monthly or quarterly in between as interim maintenance. That schedule keeps the polymer load under control and it costs less over five years than the encap-only version, because the encap-only version ends in a restoration job priced as a restoration.
Zoning is the part procurement never buys
Every office floor has three zones and one specification. Entrance and lift lobby take the grit and the wet. Primary walkways take the footfall. Everything else is furniture and static.
Charge the same rate across all of it and you overspend on the meeting rooms while starving the walkway. A tenant in Stratford, E20, with eleven hundred square metres of cut pile moved to a zoned schedule and spent about the same money annually, with the entrance strip getting five times the attention it had before. The floor looked better within a quarter.
Why Do So Many Contracts End Up Encapsulation-Only?
Because the commercial pressures all point one way, and I’m one of them.
Encap is a recurring line item. It’s quick, it’s quiet, it dries in under an hour so nobody is kept out of the space, it needs no waste tank and no hose run through a fire door, and it prices beautifully per square metre. A contractor can deliver it with an operative, a machine and a bottle. Extraction needs a van, a water source, out-of-hours access, a lift booking and a building manager who’ll sign off on the noise.
I’d rather have twelve encap visits on a standing order than one extraction a year. Any cleaning company would. That’s the shape of the incentive and it’s worth knowing about when somebody in my trade tells you interim maintenance is all your floor needs.
There’s a reporting problem underneath all of it. Encap visits generate a tidy completed-task record and a floor that looks brighter the next morning, so the monthly report reads well for years while the condition of the pile goes the other way. Nobody photographs the base of a tuft.
The other driver is procurement comparing prices per square metre across bids with no distinction made between methods. The cheapest number wins and the specification quietly becomes whatever the cheapest number pays for.
What the specification should say
Name the methods separately. State extraction frequency by zone. Require a post-encapsulation vacuum pass with a brush-roll machine and ask for it to be logged. Ask for pile lifting in walkways twice a year, which costs almost nothing and does more for appearance than any chemical. Put a moisture and residue check in at twelve months.
When Is Encapsulation The Right Answer On Its Own?
More often than the argument above suggests.
On a level loop pile or carpet tiles, encap-only maintenance with a proper vacuum regime will keep a floor respectable for a very long time, and I’d have no objection to a five-year contract on that basis. On raised access flooring with live cabling in the void, or in a data hall, the low moisture is a safety feature rather than a compromise. In a twenty-four-hour operation where there’s no window for drying, it’s the only method that fits.
There’s a commercial case too. A tenant with eighteen months left on a lease, a dilapidations schedule that specifies replacement, and a cut pile already past saving should be spending nothing on extraction. Encap it quarterly, keep it presentable, hand the space back. I’ve told two clients that in the last year and lost the work both times, which is the correct outcome.
The bonnet pad question, while we’re here
Half the floors I’m shown as encapsulated have been bonneted – a rotary machine and an absorbent pad dragged across the pile with the same solution. On loop it’s defensible. On a cut pile it distorts the tips, and a distorted tip stays distorted, so you end up with a walkway that looks hazy in the raking light from a curtain wall whatever anybody does to it afterwards. If the machine that visits your floor has a pad on it rather than a counter-rotating brush, you’re buying a different method from the one on the invoice.
Where I hold the line is the client-facing cut pile that has to look good for the next six years. Encapsulation buys time on that floor and nothing more, and every quarter you spend it without an extraction behind it is a quarter added to the bill at the end.
The Farringdon reception needed two extraction passes in a day, a pile lift, and a follow-up visit a fortnight later. It came up better than the FM expected and worse than a floor that had been maintained properly would have looked, and it cost roughly what eight quarterly encap visits had cost. Encapsulation buys time. Somebody eventually pays for the time.
